Key Highlights
Cyberwoven replaced SharePoint with IntelligenceBank’s streamlined Digital Asset Management (DAM) platform – purpose built to support marketing and creative teams…
- Centralize all creative assets – By transitioning to a structured DAM, they are better equipped to manage and organize files needed for marketing and branding projects.
- Create efficient video workflows – Integrating the DAM into video editing software reduces upload/download time and avoids wasted bandwidth.
- Simplify editing tasks – Team members can now alter files directly within the DAM (for example as cropping), saving on expensive software formerly needed to edit images.
- Allow guest uploads – Easier client collaboration is made possible by allowing controlled access (for example file uploads), keeping security intact.
Overview
Cyberwoven is a full-service brand marketing and web agency based in South Carolina. Specializing in creative solutions for businesses across various industries, Cyberwoven supports clients in building effective online brands and digital experiences. Creative Director Micah Thompson explained that as the agency scaled, managing an increasing number of digital assets while maintaining efficient workflows became a struggle.
The Challenge
Before using IntelligenceBank, Cyberwoven relied on SharePoint for file storage. While functional, SharePoint wasn’t ideal for the fast-paced, dynamic needs of an agency. The process of uploading, downloading, and sharing large files was slow and often led to file duplicates and inefficiencies. Additionally, the lack of image editing tools within SharePoint forced the team to rely on third-party software for simple tasks, increasing operational costs.
The goal was to streamline asset management, improve collaboration, and reduce the reliance on external tools for simple tasks.
The Solution
Cyberwoven implemented IntelligenceBank’s DAM to centralize their creative assets and optimize workflow. Some of the key functionalities they implemented include:
- Tagging: Enhanced organization and searchability of assets using a combination of auto and custom tags, make it easier to locate specific images and files.
- Integrations: Simplified video workflows by allowing team members to directly access and manage video files from the DAM without the need to download/upload multiple times.
- Cropping tool: Empowered non-technical staff to crop and resize images directly within the DAM, removing the need for expensive add-on subscriptions for simple tasks.
- Guest upload links: Simplified the process of collaborating with clients by allowing them to upload assets securely, but at the same time, gating off full access to the DAM system.
The Results
“IntelligenceBank has transformed the way we work. It has saved us time, reduced costs, and made our workflow much more efficient.” said Micah. The implementation of IntelligenceBank has led to significant time savings, with substantial reductions in hours spent on downloading, uploading, and managing assets.
The tagging system, along with streamlined video workflows, has minimized unnecessary steps and improved overall team productivity. Additionally, the need for external image editing software was eliminated, resulting in cost savings by reducing reliance on expensive software subscriptions.
The guest upload functionality has also enhanced collaboration with clients, simplifying the process while maintaining secure access.
Finally, as Cyberwoven’s digital asset library continues to grow, the flexibility of the DAM system ensures the platform can scale and adapt to the agency’s future needs.
